It also got us wondering about the root cause of this frustration. The reason for using software sucks<\/h2>\n<h3>What it means<\/h3>\n<p>Software is almost certainly doomed to fail if you\u2019re not crystal clear on the reason you want it. Too often, we see people saying, \u2018Somebody told us we need to buy a CMMS, so we\u2019re buying a CMMS\u2019&#8230;That\u2019s not the type of buy-in or leadership you want to see.\u201d<\/p>\n<p style=\"font-weight: 600 !important; font-size: 16px !important; margin-top: 10px;\">&#8211; Scott Deckers<\/p>\n<\/div>\n<\/div>\n<h3>What you can do about it<\/h3>\n<p>Like any repair job, you need to know what\u2019s wrong before you can fix it. That\u2019s why the first step is to determine what problems software will solve. There are three steps for doing this:<\/p>\n<ol>\n<li>Gather a team of people who will use the software and ask them what\u2019s wrong. People won\u2019t use the software if it doesn\u2019t solve their problems. <a href=\"\/blog\/who-should-have-access-to-your-maintenance-software\/\" rel=\"noopener noreferrer\" >This post<\/a> has a few tips on who to include in this consultation stage.<\/li>\n<li>Dig deeper into the problems. Here\u2019s where you can apply <a href=\"\/blog\/5-whys-simple-root-cause-analysis\/\" rel=\"noopener noreferrer\">root cause analysis<\/a> to your project. Keep asking why until you find the real reason for a problem. <\/li>\n<li><a style=\"text-decoration: underline;\" href=\"https:\/\/resources.fiixsoftware.com\/goal-template?utm_source=resource\" target=\"_blank\" rel=\"noopener\">Align your goals<\/a>. The data sucks<\/h2>\n<h3>What it means<\/h3>\n<p>If there\u2019s a problem with your data, you\u2019re going to have a problem with your software. There are three potential problems you can have with data: It\u2019s inaccurate, it\u2019s the wrong kind, and there\u2019s too much of it. How is it going to improve your processes? That\u2019s why the secret to exposing bad data is a laser focus on one part of your operation. Look at one piece of equipment or one task and ask yourself these questions:<\/p>\n<ol>\n<li>Am I collecting the right data? Does it tell me something I can act on?<\/li>\n<li>Am I collecting too much data? Can I find what I\u2019m looking for in a few seconds?<\/li>\n<li>Is my data accurate? Do my records match what\u2019s happening in real life? Am I recording data incorrectly because there\u2019s no easy way to log it? <\/li>\n<\/ol>\n<h2>#3. The buy-in sucks<\/h2>\n<h3>What it means<\/h3>\n<p>Your software project is going to fail if you can\u2019t get buy-in from the people using the software. Period. In fact, we hosted <a href=\"\/blog\/leading-change-webinar-recap\/\" rel=\"noopener noreferrer\" target=\"_blank\">a whole webinar about it<\/a>. If you\u2019re short on time, we distilled a few tips from the discussion:<\/p>\n<ul>\n<li>Tell people what\u2019s in it for them. Finding out what users care about, what pains they have, and what goals they want to achieve. Then tell them how software is going to help them with these things. Back it up with numbers. Tell people that they\u2019ll save an hour a day instead of saying that they\u2019ll be more efficient.<\/li>\n<li>Select a software champion. This is someone who will lead and advocate for the project. The perfect champion is also a user of the software so they understand both the benefits and challenges. Having a <a href=\"\/blog\/cmms-implementation-guide-12-practices\/\" rel=\"noopener noreferrer\">software implementation plan<\/a> takes a lot of uncertainty and fear out of change by making roles, timelines, and expectations clear, which makes it easier for your team to commit to change.\n<p style=\"max-width: 600px; padding: 20px 0;\"><a target=\"blank\" class=\"blog-link track\" href=\"https:\/\/resources.fiixsoftware.com\/implementation-template?utm_source=resource\" rel=\"noopener\">Check out this full pre and post CMMS implementation checklist to create your own plan.<i class=\"fas fa-arrow-right\"><\/i><\/a><\/p>\n<\/li>\n<li>Do lots of training. People forget about 75% of what they learn <a href=\"https:\/\/www.instructure.com\/bridge\/blog\/10-stats-about-learning-retention-youll-want-forget#:~:text=After%20one%20hour%2C%20people%20retain,the%20information%20in%20their%20training.\" rel=\"noopener noreferrer nofollow\" target=\"_blank\">after just six days<\/a>. Don\u2019t rely on just one training session to turn your team into pros at using software. Make time for regular training and account for growing pains as users learn a system on the job.<\/li>\n<li>Promote your successes. While success doesn\u2019t erase every frustration people have with software, it makes those problems seem a lot smaller. Keep track of every win you accomplish with software, no matter how small, and tell everyone you can about it. The processes around software suck<\/h2>\n<h3>What it means<\/h3>\n<p>Poor processes lead to software letdowns. For example, <a href=\"\/cmms\/cmms-software\/\" rel=\"noopener noreferrer\">CMMS software<\/a> can be an easy way to create and execute PMs. But if you have no process to follow up on a failed PM, your whole <a href=\"\/blog\/building-an-effective-preventive-maintenance-program\/\" rel=\"noopener noreferrer\">preventive maintenance program<\/a> will crumble. <\/p>\n<h3>What the experts are saying<\/h3>\n<div class=\"blog-flex\">\n<div style=\"flex: 0 0 15% !important;\">\n<figure style=\"margin-top: 60px;\"><img decoding=\"async\" style=\"margin: 5px 0 !important; max-width: 100px;\" src=\"https:\/\/fiixsoftware.com\/wp-content\/uploads\/2020\/09\/Headshot_ScottDeckers.png\" alt=\"headshot of Scott Deckers\" ><\/figure>\n<\/div>\n<div style=\"flex: 0 0 80% !important;\">\n<p style=\"margin-bottom: 0px !important;\">\u201cTechnology is only as good as the systems in place beneath it. The word \u2018improve\u2019 is very important here\u2014if you only monitor processes and don\u2019t improve them, the software will most likely disappoint.<\/p>\n<p>Then go to work auditing these processes. Break processes into smaller chunks to see where they might be broken.
