Now comes the easy part, right? <\/p>\n<p>Not exactly. <\/p>\n<p>It\u2019s a fact no one wants to address: CMMS implementations can go very, very, wrong. Whether it\u2019s poorly executed training, misconfiguration of the system, or the resistance of the team to adopt the technology, it can seem like there are a number of reasons for an organization to fail to successfully implement a CMMS. <\/p>\n<p>However, at its core, CMMS adoption failure comes down to one thing: <strong>a culture problem<\/strong>. That is, if your organization doesn\u2019t foster a work culture that will embrace the adoption of a CMMS, you\u2019ll have a hard time getting it up and running successfully (even if you have the best intentions).  <\/p>\n<h2>Establish guiding principles to support your CMMS implementation<\/h2>\n<p>According to John Cray of <a href=\"https:\/\/www.lce.com\/\" target=\"_blank\" rel=\"noopener noreferrer nofollow\">Life Cycle Engineering<\/a> and the <a href=\"https:\/\/www.lce.com\/resource-library\/#615e48ed03d3\" target=\"_blank\" rel=\"noopener noreferrer nofollow\">Asset Reliability @ Work podcast<\/a>, there are a number of measures you can take to ensure your organization has the right culture in place to support the implementation of a CMMS. <\/p>\n<p>Cray argues that every organization should establish guiding principles in order to lay the groundwork on which a CMMS will thrive. While every company is different and might establish a different set of principles, we\u2019ve summarized Cray\u2019s examples for you here: <\/p>\n<ul>\n<li><strong>No work order, no work.<\/strong> All work that is completed should be recorded in a work order and captured in your CMMS. If there is emergency work done, technicians should respond to the emergency and then document it in a work order after the fact. This will eliminate any ambiguity surrounding whether a job requires a work order and get people used to the habit of tracking all work.<\/li>\n<li><strong>All spare parts should be tracked with a store&#8217;s item number.<\/strong> All materials (stocked or non-stocked) should be identified with the appropriate information to reorder. This will allow your organization to get used to tracking all inventory and easily reorder parts that are needed.<\/li>\n<li><strong>Practice the 400% rule.<\/strong> What does that mean? Put simply, 100% of internal labor, 100% of your materials, and 100% of your contractor costs should be documented on a work order 100% of the time. The purpose of this is to create an aspirational standard that will again eliminate ambiguity as to what should be recorded in your CMMS.<\/li>\n<li><strong>All equipment failures should receive a root cause analysis.<\/strong> When an equipment failure occurs, you should be asking \u201cwhat failed, and why did it fail?\u201d. Your root cause may require you to engage an engineer or a whole team of people to address it. This will help you see the kinds of root causes that come up for your maintenance team and start to form further guiding principles for how you will address each kind of problem.<\/li>\n<\/ul>\n<div class=\"cmms-new\">\n<div class=\"cta_2 cta\" href=\"\/blog\/cmms-implementation-guide-12-practices\/\" target=\"_blank\">\n<figure class=\"circle\"><img decoding=\"async\" src=\"\/wp-content\/uploads\/2019\/08\/circle-robins-egg200x200.png\" alt=\"circle\"><\/figure>\n<figure class=\"hex\"><img decoding=\"async\" src=\"\/wp-content\/uploads\/2021\/07\/hex-arctic-blue200x200.png\" alt=\"hexagon\"><\/figure>\n<div class=\"flex\">\n<div>\n<p>Get the ultimate guide for CMMS implementation<\/p>\n<\/div>\n<div>\n<p><a style=\"color: white !important;\" href=\"\/blog\/cmms-implementation-guide-12-practices\/\" target=\"_blank\" rel=\"noopener\">Learn more <i class=\"far fa-arrow-right\" aria-hidden=\"true\"><\/i><\/a><\/p>\n<\/div><\/div><\/div>\n<\/div>\n<h2>What happens after these guidelines are established?<\/h2>\n<p>Once you\u2019ve set up a culture that supports these guiding principles, Cray says that there are a few more steps to complete. <\/p>\n<ul>\n<li><strong>Set official processes and business rules.<\/strong> These should be established and reviewed by a small, cross-functional group to create a standard the organization can work towards. These will drive the development of training materials.<\/li>\n<li><strong>Put a great communications plan in place.<\/strong> The first part of this is preparing your management staff for implementation. Do they know why they\u2019re implementing a CMMS? <a href=\"\/resource-center\/cmms-benefits\/\">What\u2019s the benefit of maintenance management software?<\/a> What is and isn\u2019t changing with the adoption of this software? Management should be able to effectively answer the questions, \u201cWhat\u2019s in it for me?\u201d and \u201cHow will this affect me?\u201d for every employee. The training that\u2019s conducted should be able to address this information for everyone involved.<\/li>\n<li><strong>Recognize and reward new behaviors that come out of implementing the new CMMS.<\/strong> Change takes time and concerted effort on all fronts, so make sure you\u2019re rewarding the behavior you want to continue to see from those who are using the CMMS. Positive reinforcement goes a long way.<\/li>\n<\/ul>\n<h2>You\u2019ve successfully implemented your CMMS\u2026 now what?<\/h2>\n<p>Once you have everyone on board and following the guiding principles that have been put in place for successful implementation, it\u2019s time to focus on <a href=\"https:\/\/lp.fiixsoftware.com\/metrics\" target=\"_blank\" rel=\"noopener\">metrics<\/a>.
